HR Assistant

GENERAL SUMMARY
The Human Resources (HR) Assistant is responsible for providing friendly and professional assistance to Team Members and visitors. Primary areas of responsibility include directing all walk-in and phone traffic to the appropriate department in Human Resources, filing, scanning, and the indexing of all HR documentation (electronic and hard copy). This position will assist the HR Division with the distribution of information to Pechanga Resort Casino (PRC) Team Members and assist with various projects as needed by the HR Division.

FOUR DIAMOND SERVICE AGREEMENT
All Team Members will display a Four Diamond commitment to customer service through the delivery and maintenance of the Quality Standards established by Pechanga Resort Casino.

KEY RESPONSIBILITIES
• Responsible to maintain the integrity and confidentiality of Team Member files through alphabetizing, scanning, indexing, logging, and filing all HR paperwork pertinent to Team Member files.
• Responsible for daily and monthly administrative reports/logs to include, but not limited to: maintain the monthly Team Member Birthday and Anniversary lists, intermittent LOA log, fitness center requests; suggestion/idea log; GEM tracking award; and, Team Member badge collections, Team Member walk-in, address changes, and transfer logs.
• Front Desk duties include, but are not limited to: greet and assist visitors and Team Members; contact appropriate personnel upon arrival and/or direct guest to appropriate area; answer multi-line phone system, screen incoming calls as appropriate, provide requested information, take messages and redirect inquiries to the appropriate Team Member, and schedule appointments; and, assist Team Members in the use of HR software (Employee Self Service).
• Assist all HR departments with various short-term, long-term, or ongoing projects as needed. May include pulling documents and files for investigations, events, and Team Member Programs.
• Receive general deliveries and contact proper personnel upon delivery.
• Administrative duties include, but are not limited to: daily pick up, sorting, and distribution of department mail; fax, scan, and copy documents as needed; assist with the scheduling of all meetings in the HR Conference Room; and assist in the maintenance of stock/office supplies.
• Other duties as assigned.


ACCOUNTABILITY: This position has no supervisory responsibilities. This position is responsible for protecting the assets of Pechanga Resort Casino and for maintaining and providing a positive and professional work environment.

QUALIFICATIONS AND GUIDELINES

EXPERIENCE/TRAINING/EDUCATION: High school Diploma or GED is required. No prior experience or training is required. Two (2) years of work experience is preferred.

COMMUNICATION SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other Team Members of the Company.

MATHEMATICAL SKILLS: Ability to add and subtract two-digit numbers, and ability to multiply and divide by 10 and 100. Ability to perform these operations using units of U.S. currency, weight measurement, volume, and distance.

REASONING ABILITY: Ability to use reasoning and understanding to carry out detailed, but uninvolved, written or oral instructions. Ability to deal with problems while remaining flexible and adaptable to help ensure the desired outcome.

CERTIFICATES, LICENSES, REGISTRATIONS:
• Must qualify to obtain and maintain a Class “A” gaming license.

SKILLS/ABILITIES:
• Must be proficient in: Microsoft Office (Word, Excel, PowerPoint, Outlook); Microsoft SharePoint; Adobe Acrobat Pro; DocuSign.
• Strong organizational and communication skills.
• Must have excellent people skills, communication skills, and telephone etiquette.
• Must be a self-starter who is highly motivated and resourceful.
• Must be able to work with a positive attitude in a fast-paced and culturally diverse casino environment.
• Must be able to take direction and follow through with assigned tasks.
• Must be flexible and willing to work nights, weekends, and holidays.
• Must demonstrate excellent customer service.
• Bilingual preferred.
