Food & Beverage Admin Assistant

GENERAL SUMMARY
Responsible for assisting the Executive Chef at Pechanga Resort Casino (PRC) to ensure effective office management for the Back of the House (BOH) department. The Administrative Assistant BOH is responsible for handling all administrative and clerical duties for the BOH as assigned by the Executive Chef.

FOUR DIAMOND SERVICE AGREEMENT
All Team Members will display a Four Diamond commitment to Customer Service through the delivery and maintenance of the Quality Standards established by Pechanga Resort Casino (PRC).

KEY RESPONSIBILITIES
• Handle all incoming calls and take messages if necessary
• Greet all internal and external guests including but not limited to VIP visitors and sales persons
• Manage the BOH calendar and schedule all appointments
• Prepares invoices, reports, memos, letters, financial statements and other documents
• Open, sort, and distribute incoming correspondence including faxes and email
• Prepare agendas and make arrangements for meetings; Take minutes at departmental meetings
• Order departmental supplies as necessary
• Compile end of month reports tracking expenses, weekly payroll expense reports, Gem awards, and merit recognitions; Maintain accurate records for the Executive Chef as assigned
• Provider support to the back of the house management team with administrative duties, as assigned
• Work with supporting departments to implement and make seasonal menu changes
• Work with the training manager to assist with the onboarding process of new team members
• Meet with the culinary management team to distribute banquet event orders
• Must be able to keep a high level of confidentiality at all times
• Other duties as assigned

ACCOUNTABILITY: This position does not have supervisory responsibilities.

EXPERIENCE/TRAINING/EDUCATION:
• High school diploma or general education degree (GED);
• Minimum of six (6) months of related experience and/or training
• Equivalent combination of education and progressive, relevant and direct experience may be considered in lieu of minimum educational/experience requirements indicated above.

COMMUNICATION SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS: Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS:
• Ability to obtain and maintain a class “A” gaming license from the Pechanga Gaming Commission
• Possess and maintain a valid driving license with an acceptable driving record as defined by the Tribe’s insurance carrier.
